Become a Team Captain!

The Theresa Tracy Trot committee is thrilled to welcome you as a Team Captain and is committed to helping you every step of the way.  Your participation as a Team Captain is important.  It is through the efforts of people such as yourself and your team members that will enable the Theresa Tracy Trot to reach this year’s goal of raising $50,000 to fight pancreatic cancer!

 

Team Captain Job Description

A Team Captain is a position designated to support the Theresa Tracy Trot by leading a team to participate in the walk/run and raise funds.  As team captain, you are the link between your team and the pancreatic cancer fight.

 

Step 1: Recruit & Register Team

Just ask! Recruit your family, friends, co‐workers and neighbors to join your team.  When you find new team members, ask them to invite their family, friends, co‐workers and neighbors. You will be surprised how quickly your team grows!

  • Spread the Word – Talk about the event and your team to everyone you see. You never know who has been impacted by pancreatic cancer.
  • Recruit – try to get at least ten friends, family members and business associates to participate as members of your team
  • Advertise – use e‐mail, letters and work bulletin boards to advertise your recruitment efforts. Include your team name, captain’s contact information, and the Theresa Tracy Trot website where people can register.
  • Enjoy – Your excitement and enthusiasm is contagious.

 

Step 2:  Set Goals and Fundraise

Set a fundraising goal for your team.  Share your enthusiasm and excitement with your team as you strive together to reach that amount.  Remember that the goal of the Theresa Tracy Trot is to raise money to fight pancreatic cancer.

  • Make it personal – If your team is walking in honor or memory of a pancreatic cancer patient, share the story when asking for donations.
  • Set a goal – Setting a challenging yet reachable goal will help you move forward. Encourage team members to surpass their fundraising goals.
  • Fundraise – just ask. You are asking on behalf of others who may not be able to ask or raise awareness for themselves. Remember, you are raising money to help find a cure for pancreatic cancer.
  • Enjoy – Your excitement and enthusiasm is contagious.

 

Step 3:  Walk, Run, and Enjoy

Walk, run, enjoy, and reward your team members.  You and your team are making a difference in the lives of those who have been affected by pancreatic cancer with a goal to stop anyone from ever being diagnosed!

  • Trot Day – Ensure your team knows where to gather. The Team Captain should collect and turn in any remaining donation checks. Take a team photo before the Trot.  Celebrate with your team because you are all making a difference!
  • Build team spirit – Create a team t-shirt, banner or hat to help identify and encourage your team
  • Enjoy – Your excitement and enthusiasm is contagious.

Timeline

 

12-16 weeks

  • Register team online or submit forms.
  • Set your team goals.
  • Begin recruiting team members via e-mail, phone calls and letters.
  • Find your company’s matching gift policy.

 

6-12 weeks

  • Hold a team kickoff party.
  • Continue recruiting team members.
  • Let your team know money turn-in deadlines to receive incentive prizes!
  • E-mail your team with important the Theresa Tracy Trot updates and information.
  • Begin collecting donations – it’s never too early!

 

2-6 weeks

  • Host a team fundraiser – cook-off, garage sale, etc.
  • E-mail your team with weekly incentives and updates.
  • Be sure your team members are registered.

 

1 week

  • Be sure you have all of the details from the Theresa Tracy Trot.
  • Let your team know what time and where to meet at the Trot.
  • Collect team pledges and turn them in to the Theresa Tracy Trot.

 

Walk Day

  • Meet your team at the assigned location.
  • Turn in additional pledges.
  • Take a team picture.
  • Enjoy the day and celebrate the difference you are making with your team.

 

After the Walk

  • Collect and turn in additional pledges.
  • Congratulate and thank team members for their hard work.
  • Start planning for next year!
